According to Construction Regulation 7(1)(b), all Principal Contractors and Sub- Contractors are to have a complete and comprehensive health & safety file on site at all times during construction or similar operations. This will also be relevant to various other industry types such as schools, motor workshops, warehouse environments etc. These files need to be presented to a department of labour inspector, client, client agent or a contractor upon request at any given moment on the work site or similar operations mentioned above in order to avoid fines, penalties and site- or operational stops and shut- downs.

Compiling any “once off” health & safety documents specifically requested by the client. This may include policies, procedures, plans, legal appointments. This will include only a few safety documents at a time and will be submitted electronically.
A client, contractor or similar operation needs to be audited/ vetted at least annually in order to ensure legal compliance with legislation (OHS Act 85 of 1993) as well as client requirements and best practice. It must be noted that legislation is constantly changing and therefore the company or organisation needs to keep up in order to comply at all times. As part of the audit, all non- conformances will be addressed on the corrective action sheet in order to be actioned as soon as possible by the responsible supervisor/ manager.
Compiling any pre- use inspection registers for your company needs upon request. This will include only a few registers at a time and will be submitted electronically.
Compiling of all your risk assessment needs on site or at the workplace by a competent risk assessor. This can include baseline risk assessments (for a client) and issue base/ task specific risk assessments for contractors, schools, workshops, warehouses etc.

Investigating and recording of company incidents/ accidents on the prescribed documented format by a competent incident investigator according to the general administrative regulations 9(2) in order to determine the “Why’s” as well as to conduct root cause investigation. The purpose of such investigation is to properly determine “what” happened, “why” did it happen, and what” is going to be put in place by the company, organisation or contractor the prevent a recurrence. Such investigation must be investigated within 7 days from the date of the incident and finalised as soon as reasonably practicable.
